Michael Page seeks a Senior Executive Assistant to provide high-level support to the General Manager in Geneva, acting as a central liaison for internal and external stakeholders.
This position serves as the primary support for the General Manager, ensuring efficient management of executive schedules and communications. The role functions as a critical bridge between the GM and various internal teams as well as external partners, facilitating smooth operations and strategic alignment.
Responsibilities
- Oversee the General Manager's calendar to prioritize meetings and business obligations effectively.
- Arrange all domestic and international travel logistics, including flights, visas, accommodation, and transport.
- Draft and prepare meeting agendas, presentations, reports, briefing notes, and official correspondence.
- Filter incoming communications and ensure prompt responses and necessary follow-ups.
- Maintain strict confidentiality when handling sensitive or proprietary information.
- Plan and coordinate internal and external meetings, including logistics, material preparation, and action tracking.
- Attend relevant meetings to record minutes and monitor the completion of assigned action items.
- Organize leadership committees, management reviews, and business strategy sessions.
- Assist in the planning of company events, client engagements, off-site retreats, and executive visits.
- Foster strong working relationships across different departments and with external collaborators.
- Drive communication flow and ensure timely progress on key business initiatives.
- Create executive summaries, dashboards, and detailed reports for leadership review.
- Track deadlines and oversee the follow-up on strategic projects and major deliverables.
- Help with budget monitoring, expense reporting, and invoice processing as needed.
- Keep filing systems and business records accurate and up to date.
- Support corporate governance tasks and manage document control processes.
- Track milestones, risks, and actions for strategic initiatives to aid decision-making.
- Coordinate cross-functional projects to ensure stakeholder alignment.
- Monitor project progress and prepare status updates for senior leadership.
Requirements
- Bachelor's degree in Business Administration, Management, Finance, Hospitality, or equivalent professional experience.
- At least five years of experience as an Executive Assistant, Personal Assistant, or Senior Administrative Assistant supporting C-suite or senior leadership.
- Proven track record of supporting senior executives in international, fast-paced environments.
- Fluent proficiency in both English and French.
- Advanced skills in the Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
Nice to have
- Prior experience working within multinational organizations is highly valued.
- Familiarity with ERP systems, expense management software, and collaboration platforms is advantageous.
