The company seeks a Project Administrator in Geneva to coordinate philanthropic projects, manage budgets, and liaise with stakeholders. This full-time, on-site role requires strong administrative and multilingual skills.

Reporting to senior leadership, this position acts as a central liaison for internal and external partners while handling the daily administration and coordination of a diverse portfolio of charitable initiatives and associated funds.

Responsibilities

  • Handle the day-to-day operational and administrative tasks for various philanthropic funds and projects.
  • Organize governance meetings and steering committees, including preparing materials, recording minutes, and tracking action items.
  • Manage the grant lifecycle, covering due diligence, contract drafting, payment processing, and ensuring timely reporting.
  • Engage external consultants and project contributors as needed to support project delivery.
  • Track budgets, financial commitments, and cash flow for designated funds.
  • Maintain smooth project operations by regularly communicating with donors and key partners.
  • Assist in launching and rolling out new charitable initiatives.
  • Participate in organizational development efforts, process enhancements, and the adoption of new digital tools.
  • Utilize CRM, ERP, and Microsoft-based systems to streamline administration and reporting.

Requirements

  • Hold a university degree or an equivalent professional qualification.
  • Possess at least five years of experience in project, program, or operational administration, with a focus on budget oversight.
  • Demonstrate fluent written and spoken proficiency in both French and English.
  • Exhibit strong capabilities in managing relationships and coordinating diverse groups.
  • Showcase excellent communication, drafting, and presentation skills.
  • Effectively juggle multiple priorities while maintaining structure and precision.
  • Apply an analytical approach with strong organizational abilities and comfort handling financial information.
  • Work proactively and autonomously with a solutions-focused mindset.

Nice to have

  • Previous experience working within a foundation, non-profit, SME, or comparable setting.
  • Knowledge of additional languages, especially German.
