Medical Affairs Project Coordinator - Sponsor Dedicated

IQVIA AG in Basel, CH, seeks a Mid-level Medical Affairs Project Coordinator for a full-time hybrid role. The position supports International Medical Affairs and Finance, handling project coordination, contract management, logistics, and communications.

This role provides business support and project coordination for the International Medical Affairs and Finance departments, acting as a key liaison between global teams and internal functions.

Responsibilities

  • Serve as an executive assistant to the RVP, Head of International Medical Affairs, and the AVP, Head of International Finance.
  • Provide operational support to the Medical Affairs and Finance departments, including handling inquiries and escalations from countries and business units.
  • Coordinate and organize team meetings and video conferences, including scheduling, agendas, and logistics.
  • Arrange business travel and appointments for assigned leaders.
  • Manage logistics for internal and external events.
  • Handle contract management tasks such as vendor profiling, online contract requests, purchase order creation, DocuSign processing, invoicing, and maintaining an up-to-date project tracker.
  • Track and manage monthly accruals by following up with agencies and coordinating with Finance.
  • Assist with budget planning, tracking, and adjustments as needed.
  • Lead the production of the monthly newsletter, coordinating content with country teams and overseeing publication.
  • Support the Medical Affairs SharePoint by managing access, uploading meeting folders, and maintaining content.
  • Update and maintain various contact lists.
  • Act as an ambassador for the Medical Affairs department.
  • Collaborate with Operations Coordinators from other functions on joint projects and meetings.
  • Provide backup support for other Operations Coordinators.
  • Coordinate assigned projects and assist with additional initiatives as needed.
  • Manage resources, equipment, and information for the project management core team.
  • Implement and maintain project management processes where required.
  • Oversee communication and planning activities.
  • Serve as the primary contact between Medical Affairs and Legal for new policies or procedures.
  • Work with stakeholders to implement improvements to compliance controls relevant to Medical Affairs.
  • Stay current on compliance requirements through training with Legal and share updates within the Medical Affairs organization.

Requirements

  • Bachelor’s degree or equivalent experience.
  • Minimum of 5 years of experience in a similar role within a multinational company.
  • Highly organized, reliable, and able to meet deadlines; must possess strong communication skills, discretion, and the ability to handle sensitive information.
  • Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint) and Outlook.
  • Fluency in English and French.
  • Open to hybrid work model, including frequent travel to Morges offices.

Nice to have

  • Knowledge of German, Spanish, or Italian is advantageous.
