Vendor Onboarding Associate

Solana AG seeks a Vendor Onboarding Associate to manage end-to-end KYB/KYC processes for exchanges and service providers in a remote, AI-driven environment.

This position is responsible for leading the outbound onboarding of exchanges, brokers, custodians, banks, and other service providers. The associate will own the entire lifecycle from document collection to final approval, working closely with Legal and Compliance teams. The role involves co-owning the function alongside an experienced peer, ensuring all onboarding activities are executed efficiently and accurately.

Responsibilities

• Manage the full vendor onboarding process, including collecting entity documents, submitting KYB/KYC applications, and tracking pending items.
• Assemble document packages for counterparties, such as corporate structures, beneficial ownership details, AML certifications, and tax forms.
• Monitor multiple concurrent onboarding cases, maintaining clear records of status, obstacles, and next steps.
• Lead responses to due diligence questionnaires by coordinating internal information gathering and managing the submission process.
• Submit contracts and agreements to Legal for review and follow up to ensure timely progression.
• Collaborate with Compliance on document requests, KYC refreshes, and AML certifications.
• Maintain accurate and up-to-date onboarding records in shared tracking systems.
• Store executed agreements, completed DDQs, and supporting materials in designated locations for audit purposes.
• Integrate AI tools into daily workflows for drafting communications, organizing files, and creating tracking utilities.
• Act as the main external contact for vendors during the onboarding phase, representing the company professionally.
• Compose clear and professional correspondence on behalf of the organization.
• Provide regular updates to internal stakeholders regarding progress, challenges, and expected timelines.

Requirements

• Proven experience independently managing operations, vendor management, compliance, or legal coordination, preferably in financial services or regulated sectors.
• Ability to handle multiple workstreams simultaneously while maintaining attention to detail and meeting deadlines.
• Strong persistence in following up with external partners and internal teams to drive progress.
• Excellent written communication skills for professional emails, internal updates, and organized documentation.
• Proficiency with document management and workflow platforms like Google Drive, Notion, DocuSign, or similar tools.
• Daily use of AI tools for drafting, organizing, analyzing data, and building lightweight utilities.
• Working knowledge of entity documentation (e.g., incorporation certificates, beneficial ownership disclosures, W-8 forms) and institutional KYB/KYC procedures.
