The International Organization for Migration seeks an Administrative Officer in Geneva to provide high-level administrative, coordination, and analytical support to the Deputy Director General for Operations.
This position serves as a key operational partner to the Deputy Director General for Operations, ensuring the office functions smoothly. The role focuses on managing complex schedules, coordinating priorities, and delivering analytical support to facilitate effective decision-making and day-to-day management.
Responsibilities
- Manage the Deputy Director General’s calendar, scheduling, and time management to ensure efficient workflow.
- Prepare briefing materials, background notes, and consolidated inputs for senior-level meetings and engagements.
- Track and analyze follow-up actions resulting from high-level meetings and governance body decisions.
- Support the planning, monitoring, and reporting of initiatives within the Operations Pillar.
- Conduct structured research and analysis on topics relevant to the Operations portfolio.
- Review and ensure the quality of incoming and outgoing correspondence.
- Monitor administrative actions across human resources, finance, procurement, contracts, and logistics.
- Coordinate travel logistics and scheduling arrangements for the Deputy Director General.
- Maintain and improve filing systems, records management, and knowledge-sharing platforms.
- Review and refine administrative procedures and workflows within the office.
- Assist with tour-on-duty preparations, including travel and logistical planning.
Requirements
- Master’s degree in Social Sciences, Political Sciences, Public Administration, Management, International Relations, or a related field, plus two years of relevant professional experience; or a Bachelor’s degree with four years of relevant experience.
- Proven experience in administrative or coordination roles, ideally within international organizations, NGOs, or government institutions.
- Fluency in English, both oral and written.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
Nice to have
- Experience providing administrative, logistical, or coordination support to senior management, committees, or offices.
- Familiarity with collaboration or document management platforms.
- Exposure to administrative functions such as human resources, finance, or procurement processes.
- Working knowledge of another official UN language (Arabic, Chinese, English, French, Russian, or Spanish).
