Payroll Specialist - Norway / Sweden

Ramboll Switzerland seeks a Senior Payroll Specialist to manage end-to-end payroll operations for Sweden and Norway, ensuring accuracy, compliance, and effective vendor governance.

This position focuses on the direct execution and validation of payroll processes for the Swedish and Norwegian markets. The specialist acts as the primary owner of payroll accuracy, working closely with external vendors and internal teams to resolve complex issues, perform reconciliations, and ensure strict adherence to local statutory requirements and collective agreements.

Responsibilities

• Manage the complete monthly payroll cycle for Sweden and Norway, including input validation, variance analysis, and post-payroll reconciliation.
• Apply practical expertise in local taxation, social security, pension schemes, and leave policies to ensure accurate payroll calculations.
• Critically review and challenge payroll outputs generated by external vendors to ensure alignment with employment terms and legislation.
• Conduct detailed gross-to-net checks, control reviews, and root-cause analysis to identify and resolve payroll discrepancies.
• Handle complex payroll scenarios such as retroactive adjustments, off-cycle payments, terminations, and benefit corrections.
• Collaborate with HR, Finance, and employees to explain payroll outcomes and address technical queries with sound judgment.
• Maintain up-to-date payroll calendars, process documentation, and statutory compliance records for both countries.
• Drive continuous improvement in payroll processes, automation, and vendor governance across the Nordic region.

Requirements

• Six to seven years of hands-on experience processing payroll for Sweden and Norway with substantial practical responsibility.
• Deep understanding of Swedish and Norwegian payroll legislation, including taxation, social security, pensions, and leave regulations.
• Proficiency in reviewing payroll calculations within systems like Workday and strong analytical skills using Excel.
• Experience managing third-party payroll vendors while maintaining internal ownership of accuracy, controls, and compliance.
• Ability to independently investigate payroll issues, make informed recommendations, and collaborate across functions.
• A solution-oriented mindset with the confidence to handle detailed payroll questions directly rather than escalating them.
• Proven track record of improving payroll controls, documenting processes, and sharing technical knowledge within teams.

• Experience working with collective bargaining agreements.
• Familiarity with ServiceNow or similar case-management platforms.
