Project Coordinator

ETH Zurich seeks a Project Coordinator for the ETEL-AI initiative, an 18-month hybrid role focused on adapting an open-source AI learning platform for international organizations in Zürich.

The ETEL-AI project is an international innovation effort spanning 18 months, dedicated to adapting an open-source, multilingual AI-assisted learning platform for use by global organizations. This position plays a central role in combining platform adaptation, psychometric quality assurance, and multilingual adjustments, culminating in a pilot deployment within UNITAR's training programs.

Responsibilities

  • Act as the main operational liaison and governance point of contact for all project partners.
  • Schedule coordination meetings, draft agendas and briefing materials, and ensure tasks are completed.
  • Manage the integrated project plan across work packages, tracking milestones, dependencies, and critical paths.
  • Monitor progress against set milestones and escalate any risks or delays promptly.
  • Facilitate the operational integration of the ETEL-AI platform into UNITAR's existing training curriculum.
  • Manage interfaces between trainers, subject matter experts, and engineering teams.
  • Arrange logistics for feedback collection and evaluation activities for learners and program staff.
  • Organize and support living-lab co-design workshops with partner organizations.
  • Document operational requirements and maintain a structured log of decisions.
  • Oversee the project risk and issue register, coordinating necessary mitigation actions.
  • Coordinate the preparation of data-protection agreements and consent arrangements.
  • Track architecture reviews, cybersecurity assessments, and production-readiness steps.
  • Assist with production transition and handover activities.
  • Coordinate evidence and acceptance criteria for milestone reporting.
  • Support grant administration and reporting by consolidating inputs from partners.
  • Prepare progress updates, briefing notes, and presentations for governance and funder reporting.
  • Coordinate communication and dissemination activities.

Requirements

  • A university degree in a relevant field such as design, education, social sciences, humanities, innovation, international development, or public policy.
  • Substantial experience in coordinating interdisciplinary research, education, innovation, or knowledge-exchange projects.
  • Proven track record of planning and facilitating co-design processes and stakeholder workshops.
  • Experience developing or delivering curricula, learning experiences, or training activities.
  • Excellent organizational and project-management skills.
  • Excellent written and spoken English.
  • Ability to work independently, reliably and collaboratively.
  • Willingness to travel occasionally between Geneva, Zurich and Lausanne.

Nice to have

  • An advanced degree is an advantage.
  • Experience within externally funded and multi-institutional collaborations.
  • Experience with digital learning, AI literacy or AI-supported education.
  • Experience working with a United Nations entity, international organization, humanitarian organization, university or comparable public-interest partnership.
  • Knowledge of French, German or another United Nations language.
