AMAC Aerospace seeks a Post Completion Support Assistant in Basel to handle administrative duties, warranty coordination, and customer communication for VIP aircraft services.
This position supports the Completions Support Coordinator by managing daily operational tasks related to VIP warranty services. The role ensures smooth post-completion activities through effective documentation, internal coordination, and customer liaison, aiming to maintain high satisfaction levels.
Responsibilities
- Assist the Completions Support Coordinator with daily VIP warranty service operations.
- Create, update, and archive post-completion documentation.
- Schedule meetings, customer calls, and coordinate internal activities.
- Manage customer correspondence, follow-ups, and status updates.
- Track customer requests and route them to the appropriate internal departments.
- Maintain logs for concession items and warranty claims.
- Monitor open items and follow up with internal teams and external vendors.
- Prepare periodic status reports for management review.
- Close documentation once issues are resolved.
- Liaise with engineering, quality, workshops, logistics, and customer support teams.
- Communicate with external suppliers and service providers regarding ongoing issues.
- Ensure accurate and up-to-date information flow among all stakeholders.
- Track service-related costs, invoices, and expense documentation.
- Prepare basic financial summaries and reporting inputs.
- Support data collection for cash flow and budget tracking.
- Generate weekly internal reports.
- Collect operational data to support improvement proposals and process documentation.
- Contribute to updating procedures and templates for service operations.
- Support the implementation of mitigation actions as needed.
- Ensure compliance with internal procedures and quality standards.
Requirements
- Proven experience in administrative or coordination roles, preferably in aviation or technical services.
- Strong organizational and multitasking abilities.
- Excellent communication skills in English.
- AMOS skills required.
- Proficiency in MS Office tools (Excel, Word, PowerPoint, Outlook).
- Ability to work in a dynamic, customer-focused environment.
- Attention to detail and ability to manage confidential information.
- Team-oriented mindset with proactive problem-solving attitude.
- Comfortable interacting with multiple departments and external partners.
- Willingness to learn technical aspects of VIP aircraft aftercare services.
