Executive Assistant

Medtronic seeks a Senior Executive Assistant in Lausanne, CH, to support the Site Leader and Leadership Team with high-level administrative and operational duties. The role requires strong organizational skills, discretion, and experience in a fast-paced, international environment.

This role serves as the operational backbone of the site, reporting directly to the Site Leader. The ideal candidate is autonomous, proactive, and highly organized, combining administrative excellence with a people-focused approach to support leadership and foster a positive workplace culture.

Responsibilities

  • Provide comprehensive administrative and operational support to the Site Leader and Leadership Team, including calendar management, correspondence, travel arrangements, expense tracking, and approvals.
  • Plan and coordinate meetings, Town Halls, offsites, and strategic sessions, managing agendas, logistics, catering, and follow-up actions.
  • Oversee daily site operations such as meeting room scheduling, visitor management, workplace logistics, and employee support.
  • Coordinate visitor and candidate experiences, including site access, parking, transportation, catering, and cleanroom procedures.
  • Ensure compliance with company policies in areas such as expenses, travel, purchasing, events, and vendor management.
  • Improve site efficiency by creating standardized templates, guidelines, and processes.
  • Handle confidential and strategic information with discretion and professionalism.
  • Support workplace health and safety as a certified on-site first aider.
  • Draft and distribute internal communications, announcements, and leadership presentations.
  • Facilitate communication between departments, management, and employees.
  • Coordinate employee recognition events for milestones such as birthdays, farewells, births, bereavement, and awards.
  • Act as a trusted liaison between employees and the Leadership Team, escalating relevant feedback and contributing to a positive site culture.
  • Serve as the primary contact for internal and external stakeholders.
  • Manage general inquiries, calls, and emails, and assist employees with administrative and operational needs.
  • Create and manage Purchase Orders (POs) and coordinate invoice follow-up.
  • Guide employees in organizing internal events by sharing best practices and connecting them with appropriate resources.
  • Organize and coordinate internal events, workshops, team-building activities, and celebrations.
  • Manage all event logistics, including scheduling, catering, room setup, materials, and transportation.
  • Coordinate site visits for guests, candidates, and new employees.
  • Support Employee Resource Group (ERG) initiatives and events.

Requirements

  • CFC in Business Administration (or equivalent), Federal Certificate, or Bachelor's degree, along with 3–5 years of experience in an administrative or executive assistant role, preferably in an industrial or international setting, with the ability to manage multiple priorities independently.
  • Strong organizational and interpersonal skills, comfortable interacting with senior leadership and all staff levels, and able to build trust naturally.
  • High sense of confidentiality, professionalism, and discretion when handling sensitive or strategic information.
  • Proficiency in Microsoft Office Suite and familiarity with administrative processes including purchasing, expense management, vendor coordination, and related tasks.
  • Fluent English (written and spoken), with the ability to communicate effectively in a multicultural environment and produce high-quality internal communications.
