Idorsia seeks an HR Services Specialist in Basel to manage administrative HR operations, support employees across European markets, and maintain accurate employee records in a hybrid work setting.
This position is responsible for the timely and precise administration of HR processes and operations. The specialist supports employees and HR Business Partners by providing clear information on administrative matters for European and International Markets, ensuring smooth employee lifecycle management from onboarding to exit.
Responsibilities
- Provide first-level support to staff regarding HR administrative inquiries, including time and absence management.
- Manage the full employee lifecycle, including onboarding, internal transfers, and offboarding procedures.
- Prepare and issue employment contracts, amendments, and other contractual documents based on guidance from HR Business Partners or Directors.
- Coordinate with relevant authorities to ensure all necessary work permits are obtained in a timely manner.
- Generate employment confirmations and certificates for employees as requested.
- Draft interim and final reference letters using input from HR Business Partners, Directors, or Line Managers.
- Maintain accurate and high-quality employee data within designated HR systems.
- Handle the scanning and filing of HR documents in the Digital Dossier (E-Archiving) system.
- Collaborate with HR Business Partners, Directors, payroll teams, and other internal stakeholders.
- Administer the time and absence management system, taking appropriate actions in consultation with employees and managers.
- Build and strengthen professional relationships across various levels of the organization.
- Participate in or lead smaller projects within the HR Services team.
Requirements
- Completion of an apprenticeship in administration (KV) plus further education in Human Resources Management (e.g., Eidg. Dipl. Personalfachmann/-frau or equivalent).
- At least four years of experience in HR administration within a multinational environment.
- Proficiency in computer usage and general software applications.
- Strong orientation toward customer service.
- Demonstrated effective communication skills.
- Ability to work effectively as part of a team.
- High attention to detail, precision, and efficiency in work.
- Capability to prioritize tasks and manage multiple responsibilities simultaneously.
- Fluency in English, both written and spoken.
Nice to have
- Practical knowledge of European labor law, social insurance, and tax regulations.
- Fluency in any additional European language.
