EPFL seeks an Administrative Assistant to support a professor and laboratory in Sion. The role involves HR coordination, financial administration, and multilingual correspondence in French, English, and German.
This position serves as the primary liaison between a professor’s laboratory and various EPFL departments, including Human Resources, Finance, and Procurement. The assistant ensures smooth daily operations by managing administrative workflows, financial tracking, and logistical arrangements for the research team.
Responsibilities
- Managing human resources tasks such as onboarding, contract administration, visa processing, and hiring procedures in coordination with HR staff.
- Overseeing laboratory finances, including budget tracking, invoice validation, cost center oversight, and financial reporting.
- Processing expense claims, credit card statements, and travel reimbursements according to university policies.
- Coordinating the procurement of materials, equipment, and services, including managing related logistics.
- Maintaining both digital and physical document archives.
- Arranging logistics for meetings, seminars, site visits, and travel, including booking accommodations and handling visa requirements.
- Handling correspondence and scheduling in French, English, and German, as well as taking meeting minutes.
Requirements
- A completed commercial apprenticeship (CFC commercial employee or equivalent qualification).
- Several years of experience in administrative support, preferably within academic or research environments.
- Strong organizational abilities, attention to detail, initiative, and a high level of discretion.
- Fluency in French, German, and English, both written and spoken.
- Proficiency in MS Office (particularly Word and Excel), ERP systems, and internal EPFL software.
- Ability to collaborate effectively within multicultural teams at all organizational levels.
