Arcondis AG seeks a Junior Human Resource Specialist to manage end-to-end HR administration and recruitment support within its People & Culture team.
This position sits within the People & Culture function of a global consulting firm specializing in healthcare and life sciences. The role is responsible for handling administrative processes throughout the entire employee lifecycle, ensuring smooth operations and compliance.
Responsibilities
- Manage HR administrative tasks from start to finish for all employees.
- Create and maintain employment contracts, addendums, and official certificates.
- Keep employee records accurate and up-to-date in HR systems to ensure audit readiness.
- Assist with payroll and benefits by submitting necessary employee changes and documents.
- Ensure all activities comply with local labor laws, company policies, and governance rules.
- Prepare documentation and reports to support internal and external audits.
- Act as the primary contact for staff and managers regarding HR policies and administration.
- Generate HR reports, dashboards, and workforce metrics to track performance.
- Analyze HR data to monitor recruitment and operational effectiveness.
- Help improve HR processes through standardization, automation, and digital tools.
- Join regional and global HR projects to learn about Shared Services best practices.
- Maintain data consistency across global HR databases and systems.
- Handle full-cycle recruitment tasks including sourcing, screening, and interview scheduling.
- Collaborate with hiring managers to align recruitment efforts with business needs.
- Find candidates via LinkedIn, job boards, social media, referrals, and professional networks.
- Promote and manage the Employee Referral Program.
- Coordinate offer letters, reference checks, background screenings, and pre-employment checks.
- Track and report on recruitment metrics to evaluate hiring success.
- Support employer branding efforts and recruitment marketing campaigns.
- Provide general office administration support and coordinate with vendors.
- Help organize employee engagement events and internal communications.
- Offer administrative assistance for HR projects, meetings, and daily operations.
Requirements
- Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related field.
- 1–2 years of experience in HR operations, recruitment, or administrative roles.
- Solid understanding of HR processes, documentation standards, and data management.
- Proficiency in Microsoft 365 and familiarity with HRIS or ATS platforms.
- High attention to detail with strong organizational abilities.
- Knowledge of confidentiality, data protection, and compliance standards.
- Excellent communication and interpersonal skills for working in multicultural teams.
- Proactive, reliable, and service-oriented mindset with a desire to learn.
- Ability to work independently while collaborating effectively in a global setting.
