Process and Systems Coordinator

SimplyVision GmbH seeks a Senior Process and Systems Coordinator in Basel to oversee export operations, ensure regulatory compliance, and drive process improvements for global partners.

The company requires a dedicated professional to serve as the primary champion for business processes and systems within the NPhS Basel functions. This role is critical for maintaining best-in-class operational standards and ensuring that over 150 contracted partners across more than 80 countries receive the high-quality service necessary for commercial success and product supply.

Responsibilities

• Serve as the central coordinator for major NPhS initiatives, proactively identifying operational needs and exploring ways to simplify workflows.
• Work with stakeholders to create business cases, defining the scope and goals for specific projects.
• Collaborate with various Basel departments and international teams to understand process requirements and resolve issues, ensuring efficient and compliant commercial flows.
• Drive continuous improvements in automation and process efficiency for sales execution and financial workflows using SAP.
• Lead projects to deliver sustainable solutions on schedule and within budget constraints.
• Maintain clear and consistent communication with all stakeholders regarding key projects and updates.
• Oversee the implementation and strict compliance of NPhS master data in coordination with other departments.
• Monitor the accuracy of master data, data flow between systems, and system interfaces.
• Review the work of colleagues, particularly in Export Operations, to identify compliance gaps and provide guidance or training.
• Lead efforts to document and enhance standard operating procedures, policies, and training materials for compliance monitoring.
• Document finance processes to establish controls that oversee operations and minimize risk.
• Partner with internal finance teams and external auditors to prevent violations of internal policies and external regulations.

Requirements

• A relevant degree in Economics, Business Administration, or Finance.
• Fluent proficiency in English, both spoken and written.
• Over 10 years of experience in multinational business, commercial, IT, or finance roles, including work in matrix organizations and cross-functional teams.
• At least 5 years of deep experience in export business within the pharmaceutical industry, with specific knowledge of commercial operations in small and mid-size emerging markets.
• Strong IT literacy with SAP (particularly SD/MM), Price Pro, TPES, NPhS Contract Management Tool, and MS Office.
• Proven project management experience and leadership capabilities.
• Familiarity with Sales Operations, Revenue Recognition, Supply Chain Management, Product Lifecycle, and Inventory Management.
• Comprehensive understanding of relevant internal and external regulations and best practices.
• Ability to manage urgent, complex, multi-functional assignments and handle conflicting priorities.
• Strong interpersonal, communication, negotiation, and problem-solving skills.

Nice to have

• Knowledge of additional languages, such as French.
• Experience with SAP FI/CO modules.
